MEDICAL ASSISTANT for BEVERLY HILLS-area private medical practice

(Job # 1721) MEDICAL ASSISTANT / FRONT OFFICE for Mid-Wilshire women’s and family health practice

DUTIES AND RESPONSIBILITIES:

Back Office:

  • Rooms patients, takes medical history, measures vital signs, and records information.
  • Performs routine laboratory tests, phlebotomy and injections
  • Prepares trays and carts for specimen procurement/procedures.
  • Assists doctors/medical providers with various OBGYN procedures including colposcopy, ultrasounds, LEEP, biopsies, I&Ds, D&Cs, etc.
  • Calls patients with laboratory results or as requested by practitioner
  • Maintains nursing stations and examination areas in a manner consistent with OSHA standards and Universal Precautions procedures.
  • Maintains inventory of medical supplies and materials, sterilizing instruments and sanitizing lab.

Front Office:

  • Greets, receives, and prepares patients for appointments/procedures;
  • Handle telephone calls providing assistance or referring as needed
  • Schedules and confirms patient appointments coordinating changes based on doctor’s emergency hospital call-outs
  • Coordinates patient flow ensuring a smooth transition front to back office
  • Maintains office/department and patient records.
  • Prepares timely, legible, and complete documentation of all patient care
  • Participates in quality improvement and utilization review activities.
  • Adjusts to fluctuating peaks in patient flow, acuity, and other demands while maintaining quality.
  • Assists in other departments as needed.

QUALIFICATIONS:

  • Must have some OBGYN experience!
  • High school diploma or equivalent.
  • Completion of formal training program as nursing/medical assistant and/or comparable experience in clinical setting.
  • Knowledge of ICD-10 and other billing codes a plus.
  • Proficient using Word, Excel, scheduling and EMR programs - computer proficiency medium or higher
  • Able to work collaboratively with multiple health professionals in a busy and complex environment using tact, diplomacy, and discipline.
  • Exhibits a high degree of courtesy, tact, and poise when interacting with patients, families, and other healthcare professionals.
  • Strong charting/documentation skills.
  • Excellent written and oral communication skills
  • Strong organizational, problem-solving, and analytical skills
  • Ability to manage priorities and workflow with versatility, flexibility, work with changing priorities
  • Good judgement with the ability to make timely and sound decisions
  • Bilingual skills a plus
  • Ability to understand and follow written and verbal instructions.

PHYSICAL REQUIREMENTS:

  • While performing the duties of this job, the employee is frequently required to do the following:
  • Walk and stand for prolonged periods.
  • Lift and carry supplies utilizing proper body mechanics and requesting assistance
  • when necessary.
  • Understand and respond to a diverse population.
  • Utilize visual, auditory, verbal, and olfactory processes required to assess, monitor,
  • and care for patients.

SCHEDULE & COMPENSATION

  • M-F 8:30- 5p/5:30p depending on if you take a 30 or 60 min lunch
  • $20-22 depending on the level of OBGYN experience

  • 3+ years’ experience handling the Front Office of a high-profile Aesthetic practice or company (Plastic surgery, dermatology or Medical Spa)
  • Familiarity with professional skincare products and services with an ability to discuss them with callers and visitors
  • Ability to prioritize tasks and handle check-ins, callers and in-office needs
  • Experience with cash-based client service - Concierge experience highly desired!
  • Professional appearance and communication skills (speaking and writing)
  • Strong Computer proficiency with EMR experience highly desired
  • Candidates must have a solid vocabulary of medical terminology and an understanding of the operation of a private medical practice 
  • Ability to work in a very busy environment, prioritize and handle various tasks efficiently

Duties:

  • Make and confirm appointments to maximize the practitioner’s schedule.
  • Check patients in/out including handling payments of large and small amounts
  • Handle callers providing information on products and services as appropriate
  • Work well with other staff to ensure a smooth and efficient patient flow into and through the practice
  • Ensure a smooth intake process of patients front to back
  • Learn about practice products and services and be able to educate callers and patients about offerings
  • Candidates without Back Office experience if desired will have the opportunity to learn basic back office - sterilization, instruments, assisting with procedures...
  • If candidate has Back Office or blood draw experience, may be asked to assist occasionally as needed for quality patient care and office flow

Schedule & Compensation:

  • M-F  35-40 hrs/wk as desired by worker - NO NIGHTS, NO WEEKENDS
  • $18-20/hr based on experience in this position and the specialty
  • Benefits - includes strong benefits package including money toward health, paid parking, vacation, sick, holidays, and pension plan.

  • Ensure the doctor is kept up-to-date, efficiently scheduled and supported as needed

Requirements:

  • Internal Medicine or Neurology experience required 
  • 3+ years as a Doctor’s Secretary / Administrative Assistant (this is not a normal “Front Office” position.)
  • Experience and willingness to handle whatever helps the doctor provide good patient care – and may include personal errands and scheduling.
  • Must be able to handle a busy schedule and coordinate multiple tasks to completion in a timely manner
  • Down-to-earth personality (no drama) ability to remain calm and assist patients to relax and feel confident in their doctor and procedures

Schedule and Compensation

  • M-F 8a-5pm

REQUIREMENTS:

  • 5+ years’ experience as a Medical Front Office - EXPERIENCE WITH CHILDREN HIGHLY DESIRED!
  • Experience handling a multi-doctor practice with a full schedule and busy patient load
  • Patient and understanding demeanor to handle adults and child patients
  • Punctuality and reliability are crucial to success in this position as this person opens the office daily and must be ready for patients as scheduled
  • Ability to follow established procedures and work as a team with 2 other Front Office staff

JOB DUTIES:

  • Work cohesively with other Front Office staff to handle all Front Office duties
  • Make and confirm appointments maximizing practitioner time with patients
  • Provide important appointment information to parents to ensure patients are properly prepared for doctor visit
  • Handle patient check-ins confirming personal data,
  • Performing insurance verification, collection of co-payments and organization insurance and billing information for the billers
  • Maintain ongoing communication with the Back Office to ensure a smooth flow and quality customer service moving patients from Front to Back Office
  • Assist with record requests and ensure the EMR patient data is current
  • Support the needs of multiple doctors throughout the practice

SCHEDULE AND COMPENSATION:

  • M-F 9:30-5:30p – occasional need for slightly extended day depending on schedule and patient needs
  • $17-$20 depending on experience
  • Benefits package includes large percentage toward Health, 2 weeks’ vacation after 1 year, 3 days accrued Sick, 401(k) eligible after 1 year AND Profit Sharing, paid Holidays and Paid Parking, AFLAC
